Search tips
- To search in a subset of topics, click in the search field and select a filter.
- To search for a specific word or phrase, add quotation marks around it (example: "budget column") in the search field.
- To remove highlighting on the search terms in a topic, click .
- To search within a topic, click , press Ctrl+F, and enter the search term.
Subcontract change orders (SCOs)
After a change order is approved, you can create an SCO with the potential change order (PCO) items that affect the subcontractor.
The SCO includes a banner that displays:
- Cost - Original contract: The original value of the contract.
- Cost - Changes to date: The total applied cost from the previous SCOs for the contract.
- Cost - This change: The total applied cost from the current SCO.
- Cost - Contract to this CO: The original contract value plus the total applied cost from the previous SCOs and the current SCO.
- Time - Original contract: The original substantial date of the contract.
- Time - Changes to date: The total number of approved days from the previous SCOs for the contract.
- Time - This change: The number of approved days from the current SCO.
- Time - Contract to this CO: The original substantial date plus the total number of approved days from the previous SCOs and the current SCO.
SCOs for the same contract automatically have consecutive sequence numbers. You can manage PCO items and edit approved days only for the SCO with the highest sequence number.
- In the project menu, click Financials > Subcontract Change Orders.
When you create an SCO, you must select the contract that the change is associated with. You can also create an SCO from the contract.
- Field permissions aren't enforced in the Create dialog but are enforced in the full record.
- Required fields are marked with an asterisk.
- On the navigation toolbar, click add_circle (Create).
- If autonumbering is off, enter the record number.
- From the Contract list, select the contract that the SCO is for.
- In the Create Date field, enter or select a date.
- Enter a description for the SCO.
- Click Create.
- In the Information panel, enter the record details.
- To change the workflow status, select an option from the list.
- Approved Days: The number of days approved for the work.
- NTP Date: The date that the work in the SCO is scheduled to start or the date that the notice to proceed was issued.
- Executed Date: The date that the legal documentation for the SCO was signed and executed.
- To add an assignment, click Add in the Assigned To section, select the name, and then set a due date.
- To add a courtesy copy, click Add in the Courtesy Copies section, and then select the name.
- On the Subcontract Change Order tab, add the PCO items.
- On the Comments tab, enter a comment, click link (Links) to link items, and then click (Send).
- On the Contact Information tab, enter the company and contact information.
- To search for or create a company, click (Search) in the company field.
- To add a contact, click the contact field, and then select or invite a contact.
- To set who has access to the SCO, click group (Sharing), and then select an option.
- To link an item to the SCO, click link (Links), click add (Add), and then select the item type.
- To save the changes and keep the SCO open, click save (Save).
The list displays the committing contracts that are approved for the budget.
This number is used for the banner in the SCO and on the Change Orders tab of the linked contract.
The Amount Locked toggle is read-only. The amount becomes locked automatically when a new SCO is created for the same contract.
The To Company is a read-only field because it's always the same as the associated contract.

To save the changes and close the SCO, click arrow_back Done.
On the Subcontract Change Order tab, you can link PCO items to the SCO. The items are read-only.
- A PCO item can be linked to one SCO at a time. Then the (Cost impacts) Applied and (Cost impacts) Allocation cells are locked, and the Locked checkbox is selected in the grid.
- When a PCO item is part of an approved SCO, the cost allocation is set automatically to Approved Commitment.
- If a PCO is linked to an SCO, the PCO is visible in the record to all users regardless of the company that's associated with the PCO items.
- On the PCO item row, click chevron_right (Open).
- Click Add.
- In the Search dialog, select the checkbox for the PCO item, and then click Select.
The Search dialog displays the PCO items that are linked to the same contract or company as the SCO and those that aren't linked to any contracts or companies.
- Select the checkbox for the PCO item.
- Click Remove.
When the SCO is approved, the cost amounts for the linked PCO items are applied to the budget.
- In the Information panel, turn on the Approved for Budget toggle.
