Assignments

When you assign a record to other people, they have access to that record. If default assignees were set for the record at the record settings level, they are added automatically to the new record, and the record’s workflow state is changed to the first non-draft state.

  1. Open the record.
  2. In the Information panel of the record view, click people, and then expand the Assigned To section.

    In the Information panel of the full record, expand the Assigned To section.

  1. Open the BCM, Document Control, or Field Management module.
  2. If the Assignments panel is closed, click Assignmens panel toolbar button (Assignments).
  3. In the By section, select the filters.
    • Assigned To: The name of the assignee.
    • Company: The company of the assignee.
    • Record Type: The type of assigned item.
    • Status: The status of the assigned item.
    • Due Date: The due date of the assignment. If an assignment doesn't have a due date, the record due date, if available, is used.
  4. To open a record from the panel, click one of the following:
    • chevron_right (Open): Open the record in the current tab.
    • open_in_new (Open): Open the record in a new tab.
  • In the data view, select the records, and then click Resend icon (Send) on the toolbar.

    On the assignment card, click more_horiz (More) > Send Assignment Reminder.

    Reminders are sent only for open assignments.

After you add an assignment to a draft record, the record automatically changes to the next workflow status in the list. If the notification setting is on, assignees receive an email when they're added. Assignees can add a comment to the record by replying to the notification.

  1. In the Assigned To section of the panel, click Add.

    2. The contact popover only displays the active project contacts. To search for or create other active contacts in the Contact Search dialog, click Contact search icon (Contact Search).

  2. Select a person, who can only be assigned once to the record.

    3. A contact card is added to the Assigned To section. The assignment is also noted in the activity stream of the record.

  3. On the contact card, add or edit the due date.

    4. The due date is set automatically to the same due date, if one is available, as the parent record.

If you're assigned to a record, you can add a comment and link items to it by replying to the email notification. However, the assignment isn't marked as done until you manually change it.

  1. Open the email notification, and create a reply.

    2. In the email notification, click Reply.

  2. In the reply email, enter your comment above the indicated line.

    3. To include a web link, enter the URL in the reply. In ProjectSight, you can't click the link, but you can copy and paste it into a browser.

  3. Attach files to your response.

    4. The files will be linked to the comment in the record.

  4. Send the reply.

    5. The reply is added to the Comments tab of the record.

  • In the Assigned To section of the panel, click and drag a contact card to a different position.

    • Assignments don't have to be completed in this order.

  • On the contact card, click Calendar icon (Calendar), and select the new date.

    • You can only change the due date for assignments that aren't completed yet.

  • On the contact card, click check (Mark Done), so it becomes green (check).

You can only remove assignments that aren't done yet.

  • On the contact card, click more_horiz (More) > Remove.

    • This person will no longer receive notifications.
