Search tips
- To search in a subset of topics, click in the search field and select a filter.
- To search for a specific word or phrase, add quotation marks around it (example: "budget column") in the search field.
- To remove highlighting on the search terms in a topic, click .
- To search within a topic, click , press Ctrl+F, and enter the search term.

Managing albums
Albums are a collection of photos.
- The default top-level album can't be renamed, moved, or deleted.
- The album name must be unique in its parent folder.
- The album name can't contain any of the following characters: \ / : *? " < > |
- In the project menu, click Photos.
- In the albums panel, click the album.
- To view the album details in the Information panel, click info (Information).
- Click and drag the edge of the panel.

To expand or collapse the panel, click the middle of the panel edge.
- In the albums panel, click the album.
- From the Sort list, select an option:
- Last modified: Albums and photos are sorted by the last modified date.
- Newest: Albums are sorted alphabetically, and photos are sorted by the newest captured date.
- Oldest: Albums are sorted alphabetically, and photos are sorted by the oldest captured date.
- Recently uploaded: Albums are sorted alphabetically, and photos are sorted by the most recently uploaded date.
You can create an album and then upload photos into it.
- In the left panel, click or hover over the album that will contain the new album.
- Next to the album name, click (Create).
- Enter a name, which must be unique in the parent album.
- Click Create.
You can assign permissions to users and security roles for each album. In the Album permissions dialog:
- Set the default permission for users with access to this project.
- Add users and security roles that will have custom permissions.
- Set custom permissions for users and security roles.
- Set which album level the permissions are applied to.
The following permissions are available:
- Manager: Edit the album and permissions, create child albums, upload photos, move photos to an album, and edit and delete all photos.
- Contributor: Upload photos, move photos to an album, and edit and delete your own photos.
- Viewer: View the album and all photos in the album.
- No Access: No access to the album unless you are a specific user or a member of a role with access.
- The Manager permission is assigned automatically to the album creator and the Portfolio Administrator security role.
- When you create a new album, it inherits the permissions of its parent album.
- To have access to a child album, you must have access to its parent album.
- To delete a parent album, you must have the Manager permission for each child album.
- In the albums panel, click the album.
- On the toolbar, click info (Information).
- In the Permissions section of the Information panel, hover over a user or security role.

To see the full list of permissions, including the default for project members, click Manage permissions.
- In the albums panel, click the album.
- On the toolbar, click info (Information).
- In the Permissions section of the Information panel, click Manage permissions.
- To change the default access for users with access to this project, select an option in the General access section.
- To set custom permissions for specific users or security roles:
- In the Users with access list, type the name of the email address, company, user name, or security role in the search field.
- Next to the selected user or security role, click the permission list, and then select the permission.
- To set where the permissions are applied, select an option:
- Apply permissions to this album and all its sub-albums: Permissions are applied to the current folder and any current child albums.
- Apply permissions to this album only: Permissions are applied to the current album. Child albums in the current album retain their own permissions.
- Click Save.

Select a user or security role from the list.
This overrides any custom permissions in the current child albums.
- In the Permissions section of the Information panel, click Manage permissions.
- To remove the default access for project members, select No Access in the General Access section.
- In the list of custom permissions, hover over the user or security role, and then click clear (Remove).
- Click Save.
The Manager permission can't be removed for the album creator and the Portfolio Administrator security role.
Your album permissions determine whether you can edit an album.
- In the albums panel, click or hover over the album.
- Next to the album name, click (More) > Rename.
- Enter the new name, and then click Save.
You can also click info (Information) and then edit the album name in the Name field.
- In the albums panel, click or hover over the album.
- Next to the album name, click (More) > Move.
- Select the new parent album, and then click Move.
If the album name already exists in the new parent album, you can close the Move Album dialog, rename the album, and then move it to the new parent album.
- In the album, hover over the photo, and then select the checkbox.
- Select the checkbox for more photos.
- On the navigation toolbar, click (Remove).
- In the confirmation dialog, click Remove.
The selected photos that you have permission to edit are removed from the album but are still available in the Photos area.
Your album permissions determine whether you can delete an album.
- In the albums panel, click or hover over the album.
- Next to the album name, click (More) > Delete.
- In the confirmation dialog, click Delete.
The album, its child albums, and its photos are permanently deleted.
To delete a parent album, you must have the Manager permission for each child album.
