Purchase order catalog

In the purchase order catalog, you can compile a list of frequently purchased supplies. The purchase order catalog is available in the record settings for general invoices and purchase orders, and the catalog items are the same in both places.

  1. Open the record settings.
  2. Click General Invoices or Purchase Orders.
  3. On the settings menu, click Purchase Order Catalog.

Each catalog item must have a unique code.

  1. In the purchase order catalog, click Add.
  2. In the Code cell, enter a unique code.
  3. Enter the description, unit of measurement (UOM), and unit price.
  4. Add a general note for the item.

You can export catalog items to an Excel file where you can edit them and create new ones. Then you can import the file, which can only be used once, back into ProjectSight. If there are any errors, you can review and fix them in a new Excel file.

  • Record and field permissions are checked when you export catalog items to an Excel file and when you import the file into ProjectSight.
  • In the Excel file, required fields are light red.
  • The Excel file can only be imported into the portfolio or project that it was exported from.
  • If you delete a catalog item in the Excel file, the item isn't deleted when you import the file back into ProjectSight.
  1. In the portfolio settings, open the purchase order catalog.
  2. On the navigation toolbar, click Project export toolbar button (Import/Export) > Export to Excel.

    3. The existing catalog items are downloaded in an Excel file.

  3. Open the Excel file.
  4. On the Catalog Items tab, add new or edit catalog items.
  5. Save the Excel file.
  6. In ProjectSight, open the purchase order catalog.
  7. On the navigation toolbar, click Project export toolbar button (Import/Export) > Update from Excel.
  8. Select the Excel file to import.
  1. In the import error message, click Review Errors.

    2. The catalog items with errors are exported to a new Excel file.

  2. Review the Feedback column and fix the associated errors.
  3. Save the Excel file.
  4. In ProjectSight, open the purchase order catalog.
  5. On the navigation toolbar, click Project export toolbar button (Import/Export) > Update from Excel.
  6. Select the Excel file to import.

You can delete catalog items that are in use. The deleted catalog items remain in the existing records but can't be selected for any new ones.

  • Select the checkbox for the catalog item, and then click Remove.
